This is Outlearn's sources dashboard after connecting, here with a single website crawl. As you can see, the agent shows you exactly what it has read and when, and it re-reads every source on a 30-minute cycle, so it's never answering from last quarter's help center. It even says 4 failed out loud, because a source that quietly stopped reading is the one failure you'd never catch yourself.
Where Outlearn and Help Scout actually differ

The Tuesday after you connect it
The 3am question gets a 3am answer, and it's right, because the agent read this morning's Docs, not last quarter's export. Half the queue never reaches your team. 50.4% of conversations, solved end to end. The ones that need judgment land on a person with the transcript and a summary attached. Nobody opens with "can you repeat that from the beginning."
It answers with the receipt attached. Somebody asks what the product costs. Outlearn writes the answer out of your live Docs and pins a 3 Sources chip under it, so anyone can open the three articles it read. Most AI support tools hand you a confident paragraph and no way to check it. That's the difference between an answer and a guess.
It gives different people different answers and both are right. Pass a signed token and Outlearn scopes retrieval to whoever is asking. An anonymous visitor gets the public docs, a paying customer gets their plan's articles, an employee gets the internal runbooks. The boundary, so you hear it from us first: scoping works where Outlearn can read the user and group model, today knowledge-base sources. Cloud-file connectors don't import users, so a Drive answer isn't scoped per person.
And it does things, not just says things. An Outlearn action is an HTTP call with your own auth headers and a plain-English trigger. Order lookups, subscription status, license checks. By the time the customer types their thanks, the refund has already gone through.

This is Outlearn answering a real pricing question. As you can see, it quotes the actual number out of the live docs and pins a 3 Sources chip under the reply, so anyone can open the three articles it read. A support agent who can't show their work is a liability, and that's as true of software as it is of people.

Nothing to migrate, nothing to export
Outlearn is Lego blocks. It plugs into whatever you already have and asks for nothing else. Paste a Help Scout API key and it pulls your collections and published articles over their own Docs API, then re-reads them every 30 minutes. Your help center stays exactly where it is, and collection visibility carries across: a public collection is public knowledge, a restricted one stays internal.
Here's why that matters for anyone weighing a Help Scout alternative. Help Scout's own documentation says "Exporting data via the API is currently the only means of obtaining data" (their export options article, updated 20 November 2024). The usual way to evaluate a new tool, export everything and upload it somewhere, runs into a wall. Outlearn never asks you to. It reads the original, in place. And it never holds the only copy, so disconnecting it leaves every source exactly where it was.
Then connect the rest. Confluence, SharePoint, Google Drive, OneDrive, Box, Dropbox, GitHub, 20 systems in all, each one a click. Most teams' real answers are spread across three of those, and a help center only ever held one of them. You add a source once and that's it. Set it and forget it.

This is the whole Outlearn action builder, and it's dead easy. Your endpoint and your auth headers, then a plain-English sentence saying when to run it, then how the result comes back. A helpdesk is priced around the people who read the tickets
That's the assumption underneath every helpdesk ever built, and it was a reasonable one. Somebody had to read each message, so the fair thing to charge for was somebody. Per seat, with a floor. A real support team has a floor.
Help Scout is a very good version of that product. Docs, the shared inbox, Beacon, a support reputation most vendors would trade a funding round for. Their AI meter is better designed than ours. More on that below.
Here's what changed underneath all of it. An agent can now read your live systems, work out who is asking, call your API and answer. Not a chatbot standing in front of a copy of your help center. A real one, reading the original, every thirty minutes. Once that works, most of the volume never becomes a ticket and your people handle the exceptions.
So a ten-seat floor isn't expensive so much as out of date. Pro is $75 a user with a ten-seat floor, checked 7 August 2026. That's $9,000 a year before a single AI answer. A price shaped around ten humans reading tickets, in a year when most tickets don't need one. Be fair to it though: at three agents on Standard, Help Scout is $75 a month and Outlearn isn't the cheap Help Scout alternative.

The one meter question to ask every vendor, starting with us
Help Scout charges $0.75 per resolution, and their definition of resolution is unusually honest. Verbatim from their pricing FAQ, checked 7 August 2026: a resolution counts only if the customer got an AI response and "doesn't use escalation, search the knowledge base, ask more questions, or indicate that they need more help." And: "If a customer requests more help… the conversation won't count as a resolution and you won't be charged." One charge per conversation, however many questions the AI answered inside it.
Outlearn bills every AI reply, including the one that missed, and the fourth reply in a conversation that ends with a human anyway. Both sides cap the damage: Help Scout publishes a spending cap that auto-disables the AI at the limit, and Outlearn lets you set a monthly extra-credit limit, with the agent pausing at zero credits rather than billing on. Still, on metering design they're ahead, and we'd rather tell you that here than have you find it on an invoice.
The useful question isn't which meter is cheaper at a headline rate. It's "does this meter charge me when the bot fails?" Put it to every Help Scout alternative on your shortlist, starting with us. Our answer is yes, it does. The counterweight is what the meter is attached to: a flat $199 plan that covers 1,000 solved conversations a month, with nothing at all charged for people.

What doesn't Outlearn do?
Outlearn is not a helpdesk. It sits in front of one. The shared inbox where a human team works a queue together? That's Help Scout's whole product, and they're very good at it. Outlearn hands conversations into it, or into Zendesk, Intercom, LiveChat, Slack and four others. Full transcript attached.
And at a small headcount, they can be cheaper. Three agents on Standard is $75 a month. If that's your team and your queue is light, the honest math may not favor us.
If the inbox itself is what you're replacing, compare helpdesks, not us. We're the wrong Help Scout alternative for that job. Better to lose the sale now than the customer in six months.

How we calculated this
Help Scout is on Pro because that's the plan with the ten-seat floor; on Standard the same team is $250 plus AI. Their $0.75 bills only conversations the AI actually resolves, so at a lower resolution rate their AI line falls and ours doesn't. Outlearn is on Growth at four AI responses per resolution on a 1-credit model, our assumption rather than measured data.

Help Scout reviews: the 2025 repricing cut both ways
Help Scout's record is genuinely good, which isn't what a Help Scout alternative page usually opens with: 4.6 out of 5 from 226 reviews on Software Advice, 9.3 out of 10 on TrustRadius. Two of the three quotes below are positive, which is roughly the ratio in the actual record. G2 and Capterra were unreachable from here, so rather than quote numbers we didn't verify, those rows are empty and say so.

How we picked these
In 2025 Help Scout repriced. One customer was moved from $1,500 a year to over $7,500 and left. Four months later another called the new per-contact model the fairest in the market and gave it five stars, praise for a pricing model Help Scout has since reverted, so read both as verdicts on that year rather than on the live price list. Any page showing you only the first is selling you something.

How much does Help Scout cost for a team of ten?

Pro is listed as unlimited users with a minimum of ten and bills $75 each, so ten people is $9,000 a year in seats alone. The same ten on Standard are $250 a month. Their AI adds $0.75 per resolved conversation on top of either.
Is Outlearn cheaper than Help Scout?
It depends almost entirely on your headcount, because that's what their bill is made of.
Ten people on Pro pay $9,000 a year in seats before any AI and Outlearn charges nothing for seats. Three people on Standard pay $900 a year, and at that size Outlearn isn't obviously cheaper.
Does Help Scout charge you when its AI fails to answer?
No, and on this axis Help Scout is ahead of us.
Their FAQ says a conversation the customer escalates won't count as a resolution and won't be charged, and one conversation bills once however many questions it took. They also publish a spending cap. Outlearn bills every reply, including the misses.
