Some questions need more than a document. Outlearn calls your own APIs for an order status, a subscription state, a license key, a Salesforce record, a Stripe charge. You give it an endpoint and your own auth headers. It decides when that call is useful.

When it can't finish, it says so and hands the conversation to Zendesk, Intercom, LiveChat, Slack or one of four other helpdesks, and everything the customer already said arrives with it. Zoho Desk built a strong helpdesk, and AI changed what it needs to read

Helpdesks were built for people reading tickets one at a time, and the price lists still say so: per agent, per seat, per user, per month. Knowledge lived in one help center somebody kept up by hand. That made sense when only humans read it.

Zoho built that shape better and cheaper than almost anybody. $23 a seat, 30 million free AI tokens a month, and a suite that talks to itself. If your answers already live in Zoho, the gap this page is about doesn't apply to you, and we're not going to talk you out of anything.

Then AI arrived, and the category put a bot in front of that same help center. Zoho's own page says Zia answers "based on its intelligence from your knowledge base articles" (their words). A chatbot that's only as fresh as the last manual update.

AI can read the work where it already happens now, across many systems. That changes the buying decision from which desk is cheapest to what the AI gets to read.

The docs stay put, and Outlearn reads them there

Internal runbooks stay out of public answers

Let a prospect, a customer and your own support lead ask the same question. A bot sitting in front of one help center gives all three the same answer, even when they should see different material, because the help center only has one version of each page.

What's Zoho's AI actually allowed to read?

This is the narrow, checkable version of everything above, and the reason a Zoho Desk alternative is worth considering at all.

Their published description of the Answer Bot, read 7 August 2026: responses "based on its intelligence from your knowledge base articles." Nothing outside the Zoho knowledge base is named anywhere in what they publish.

We're not claiming they can't do it, only that they don't say they can. Inventing a limitation for a competitor is how comparison pages end up worth nothing.

The 30 million free tokens, and the bill you can't predict

Zoho's Zia pricing is unusually clean about it: "You pay only for LLM usage; Zia Agents are free." The math is plain too: "1 USD = 1,000 AI Credits", 30 million free tokens a month, then $0.24 per million, and bringing your own model key carries no markup. The upside is real. At a normal support volume the meter never gets touched, which makes that allowance the strongest argument against paying for a Zoho Desk alternative, so we'll take it seriously.

The harder part is forecasting. A token bill moves with how much context each answer needed, which isn't something you control. Outlearn bills a credit per AI reply, so ticket volume times one credit is a number you can put in a budget.

Both meters bill for the work the AI did, not for whether the reply helped. A refusal, a wrong answer and a right answer all cost what they consumed. Zoho publishes no rule about that, and neither do we. Our meter bills misses too. Understand that before you model costs.

How we calculated this

Zoho is shown on Professional because that's where Zia AI and light agents live. Their AI line is modeled at roughly 12,000 tokens per resolution, about four exchanges of retrieval-augmented answering, which puts 1,000 resolutions at 12 million tokens and comfortably inside their free 30 million. That token estimate is ours, and a knowledge base with long articles would push it higher. Prices are USD at annual billing. Outlearn is shown on Growth at four AI responses per resolution at one credit each, which is our estimate rather than a measurement.

Does Zoho Desk have a five-agent minimum?

No, and several third-party guides have this backwards.

Five users is the ceiling on Standard, not a floor. Their own FAQ says a paid plan raises your limit to five users on Standard or unlimited on higher plans, and the Free edition covers three.

How does Zoho charge for AI?

In LLM tokens, settled through prepaid AI Credits at 1,000 credits per dollar.

You get 30 million free tokens a month on the standard model tier, then $0.24 per million. The agents themselves are free, you can bring your own model key at no markup, and purchased credits roll over while the free monthly allowance doesn't.

Does Zoho charge when its AI fails to answer?

No published rule says so.

Zoho's meter counts tokens, and tokens get used whether the answer lands or not. The meter can't tell a good answer from a bad one, and that's true of ours too: we bill every reply, misses included. Not a criticism we have standing to make.

Is Outlearn cheaper than Zoho Desk?

At ten agents Zoho Professional is $230 a month against our $199, and their AI is likely free at that volume while ours is bundled into the plan.
