Comparison

The Intercom alternative
for teams who stopped counting seats.

Intercom's AI agent is called Fin, and it is good. It is the AI customer service product most of this category is measured against. It is also on the fairest meter in this whole comparison, so let us get that out of the way first rather than pretend otherwise.

Intercom bills Fin $0.99 per outcome, and their definition of when that fires is unusually honest. You are not charged when a customer asks for a human, when Fin escalates because someone is frustrated, when a Procedure errors out, or when a conversation is simply passed to your team. If a customer comes back later and reopens a thread Fin had resolved, "that resolution will be deducted and not charged." Their own sentence for it: "You will never be charged for an outcome that didn't happen."

Outlearn bills every AI reply, including the ones that miss. On metering design Intercom is ahead of us and no amount of writing changes that.

So this page is about the two things underneath Fin. The first is the bill it sits on: Intercom seats start at $29 a month on annual billing and run to $132, and SAML is only on the $132 tier. Outlearn charges nothing per seat.

The second is what Fin is allowed to read. Their published list has real gaps: no SharePoint and no Google Drive, Confluence Cloud only, uploads capped at 100 per workspace. Their refresh rate is per source rather than one number: Confluence, Notion and Guru every 24 hours, a Zendesk help centre every hour, and public web pages weekly. Outlearn re-reads everything every 30 minutes. If you are shopping for an Intercom alternative because your answers live in Microsoft 365 or Workspace, that is the gap.

Both are absent from Fin's published knowledge list. Outlearn reads them, plus Confluence, OneDrive, Box, Dropbox, GitHub, Slack and Teams.

30 minutes for everything

Intercom's cadence depends on the source: 24 hours for Confluence, Notion and Guru, an hour for a Zendesk help centre, a week for crawled web pages. Outlearn re-reads all twenty on the same 30-minute cycle.

Their meter is kinder
Fin does not bill an escalation. We do.

No charge for a handoff, a frustrated customer, a failed Procedure, or a thread the customer reopens. Ours bills every reply. On this axis they are ahead.

Outlearn is an AI support agent that plugs into the systems your company already runs. It reads your documentation where it lives, answers in chat, email and Slack, looks up an order, and hands the hard ones to a person with the whole conversation attached.

Intercom

Intercom is a helpdesk built around the Messenger it more or less invented: shared inbox, tickets, a public help centre, workflows, Copilot for agents, and Fin, its AI agent, on every plan and billed per outcome. Fin is now sold standalone too, on its own domain.

Intercom charges for seats and meters the AI on outcomes it delivered. Outlearn charges for AI work and nothing for seats. Their meter is the better design; ours is attached to a smaller bill.

Where Outlearn and Intercom actually differ

01

Fin's meter is better than ours, and here is exactly how

The first section argues for the competitor, because on this axis they are right.

Intercom bills $0.99 per outcome, and the list of things that are not an outcome is long. Verbatim: "If a customer asks for a human or shows frustration, Fin escalates based on its default logic. You are not billed for these escalations." A Procedure that hits a technical error is not billed. A conversation "simply passed to your team without an outcome" is not billed. A clarifying question the customer never answers auto-closes and "is not a billable outcome."

It even goes backwards. If a customer returns to a conversation Fin had resolved and asks for more help, "that resolution will be deducted and not charged." Very few meters in software refund themselves.

Outlearn bills every AI reply, the one that missed included. Their design is better. Ours is attached to a smaller total bill.

02

What an outcome actually includes

The word changed, and the word is doing work.

Intercom used to say resolution. They now say outcome, and an outcome is wider. Their published list has four kinds: a resolution, a Procedure handoff, a disqualification, and a qualification.

A Procedure handoff is billable. Verbatim: "A Procedure handoff is an outcome where Fin successfully executes a Procedure that you've configured to end in a handoff to a human or a workflow." So a general escalation is free, but a handoff you deliberately designed costs $0.99. Defensible, since Fin did the work you asked. Also not what people picture when they read "pay only for resolutions".

A qualification costs $9.99. Ten times the standard rate, for Fin matching a prospect to criteria you defined. If you point Fin at sales traffic, that is the line to model.

And a resolution does not need anyone to confirm it. Intercom counts a confirmed resolution when the customer says something like "that helped", and an assumed resolution when they simply stop replying. The assumed one fires after 24 hours of inactivity at the same $0.99. Fin has to have given a real answer first, which is a genuine safeguard, but silence still bills.

One more if you buy Fin standalone. There is no base plan: fin.ai/pricing sets a "50 outcomes per month minimum" at $0.99 each, so the floor is what fifty outcomes cost whether or not you use them. A usage limit below that does not reduce it: "if your subscription includes 50 outcomes, setting a limit of 30 won't reduce your charge, you'll still be billed for 50."

03

The bill Fin sits on, and what Fin is allowed to read

Fin is included on every Intercom plan, which is really just where the seat charge lives.

Annual seats are $29 on Essential, $85 on Advanced and $132 on Expert. Their pricing page's own structured data carries the monthly price for all three: $39, $99 and $139. What gets expensive is what the tiers gate. SAML, HIPAA support, SLAs and multibrand are on Expert only, so a security review asking for SSO does not move you one tier, it moves you to $132 a seat. Then Copilot is $29 per agent annually, Pro from $99, Proactive Support Plus $99, and WhatsApp, SMS, bulk email and phone are separately metered with no published rates. Ten seats on Advanced is $10,200 a year before one Fin outcome. Our seat line is zero. Be fair though: at one or two seats on Essential, Intercom is $29 a seat and we are not the cheap option.

Now the knowledge, and this is a published list rather than a guess. Fin reads website crawls, Zendesk, Notion, Confluence, Guru and Box, plus PDF and DOCX uploads, Salesforce Knowledge and Freshdesk, plus Intercom's own Articles, Snippets and Webpages. A more serious list than most competitors publish.

Two things are missing from it: SharePoint and Google Drive. For a company running Microsoft 365 or Workspace that is not a footnote, because that is where the answers actually are. Outlearn reads both, plus OneDrive, Dropbox, Box, GitHub, Slack, Teams, Gmail and Google Chat.

The Confluence support has edges too. Cloud only, "not on-premises", and "Only 'global' type Confluence spaces are imported", so a team space does not come across. Uploads cap at 100 per workspace. And a synced Zendesk help centre has to be fully published or Fin gets none of it.

The freshness difference is not one number. Intercom publishes a different cadence per source, from hourly for Zendesk articles down to "synced weekly" for your own webpages, and 14 days for a site heavy enough to be expensive to crawl. So if your answers live in Zendesk, Fin is fresher than a day; if they live on your own website, it is a week. Outlearn re-reads all twenty systems every 30 minutes.

Read the green badge, then the red number
Outlearn Knowledge Sources screen. One source row reads Website Crawl - helpjuice.com with a line underneath showing 81 snippets, a green Synced 20 mins ago pill and 4 failed in red. An Accessibility control on the row is set to Public and an In Use toggle is switched on. A live chat preview panel sits on the right

Synced 20 mins ago, against Intercom's 24-hour re-sync. To its right, 4 failed in red.

04

What Outlearn does instead, and what it cannot do

It answers with the receipt attached. A 3 Sources chip under each answer, so anyone can open the articles it read. Pass a signed token and retrieval scopes to whoever is asking: public docs for a visitor, their plan's articles for a customer, internal runbooks for an employee. The limit you will find in week two: scoping works on your knowledge base and not on cloud-file connectors, which do not import users. It also runs HTTP actions against your own endpoints, as Fin does.

Now the gaps, and they are real. No shared inbox, no queue, no Messenger, no outbound campaigns, no product tours. No voice product against Fin Voice. And Fin's meter really is better than ours: if your volume is spiky and your deflection rate is low, a meter that charges nothing for failure is worth real money, and that is theirs.

Look at step 2
Outlearn New Action screen. Step 1 Action shows a Custom API Action marked Connected with a GET endpoint field and a Headers and Body panel, plus a Collect Info First toggle. Step 2 Trigger says Describe when Outlearn should run this action above a plain text field. Step 3 Response Handling offers Text, Card or Link

Step 1 is your endpoint and your auth headers. Step 2 is a sentence, not a rules tree: "Describe when Outlearn should run this action."

What ten seats and 1,000 Fin outcomes cost

Intercom's bill is seats plus Fin outcomes. Outlearn's is credits, no headcount. What moves the comparison is how many people you have, not how well the AI works.

How we calculated this

Intercom is on Essential at $29 per seat annual, the cheapest seat that carries Fin, which is how every vendor in the calculator below is modelled. Most ten-person teams buy Advanced for workflows and the 20 free Lite seats, which is the row underneath. Fin is at their published $0.99 per outcome, and because their meter excludes escalations, a lower deflection rate lowers their AI line while ours does not move. Not all outcome types are $0.99: a qualification is $9.99, so a Fin pointed at sales traffic costs more than this shows. Outlearn is on Growth at four AI responses per resolution on a 1-credit model, our assumption rather than measured data. Add-ons are excluded from both columns.

Intercom reviews: one usable score, one about parcel deliveries

One usable score and one that is not. Capterra holds 4.5 from 1,134. Their Trustpilot profile has ten reviews and some are about parcel deliveries, so the count is printed beside it.

We had been using Intercom for over five years without any major issues, but our experience changed dramatically when our outgoing emails were suddenly blocked as part of a compliance review. The suspension happened without any prior warning and, even worse, the notification arrived over the weekend.

Intercom is a great tool for any customer service team. It offers a wide range of services. You can set workflows to easily automate processes, you can use their FIN AI to lower the amount of cases where human support is needed, you can set your own triage system for prioritizing tickets based on self-defined criteria.

How we picked these

The five-star one is the more useful, because it names Fin and says what it is for. G2 blocked us, and an empty column beats a number we did not read.

How to try Outlearn alongside Intercom

  1. 1

Keep Intercom, and keep Fin running

Nothing here needs Fin turned off. Intercom is a built-in Outlearn handoff destination, so anything Outlearn cannot finish lands in your team's inbox with the transcript.

  2. 2

Connect the systems Fin's list does not name

SharePoint, Google Drive, OneDrive, Dropbox, Teams and Gmail. If your answers live in those systems, Outlearn will retrieve things Fin never saw.

  3. 3

Point it at your Intercom conversations too

Outlearn's Intercom connector reads conversations over OAuth. Conversations, not Articles: your public help centre goes in as a website crawl.

  4. 4

Compare on freshness, then on the bill

Change one document and time how long each agent takes to answer from the new version. Then price both, counting how many Fin outcomes are $9.99 qualifications rather than $0.99 resolutions.

Frequently asked questions

What is the best Intercom alternative in 2026?

It depends which part of Intercom you are replacing.

For the Messenger, the shared inbox, outbound campaigns and product tours, Outlearn is not that; compare other helpdesks. For an AI layer over documentation you already have, without a per-seat bill, Outlearn is that: twenty systems read live including SharePoint and Google Drive, re-read every 30 minutes.

What is Intercom Fin, and how much does it cost?

Fin is Intercom's AI agent, on every Intercom plan and also sold standalone.

Outcomes are $0.99, except a prospect qualification at $9.99. Standalone it carries a 50-outcome monthly minimum. Fin Voice is custom-priced, and Fin's pricing now lives on fin.ai.

Does Intercom's Fin charge you when it fails to resolve a conversation?

No.

Intercom does not bill an escalation, a handoff triggered by a frustrated customer, a Procedure that errors out, or a conversation simply passed to your team, and it reverses the charge if the customer reopens a resolved thread. Outlearn bills every AI reply including the misses, so Intercom's meter is fairer than ours. Two nuances: a Procedure handoff you configured yourself is billable, and an assumed resolution bills after 24 hours of silence.

Connect the systems Fin cannot see

Keep Intercom and keep Fin. Point Outlearn at SharePoint, Drive and the rest, and compare on your own documents. Free tier, no card.
