Fresh answers, nobody maintaining copies

The policy changed this morning, but the bot still gives last month's answer. That gap lands on somebody, whatever your team runs. They have to find the change, update a second copy, and hope nothing got missed. Outlearn removes that copy. It reads the places where answers already live and keeps reading them, so the answer changes when the source does.

Outlearn reads 20 systems live, among them Confluence, SharePoint, Google Drive, GitHub, and Slack, whatever you run. It re-reads them every 30 minutes. There's no help center copy for anyone to keep in sync. The answer changes when the source does. Compare what each billing model counts

You're deciding what support automation costs under the traffic you actually get, not whether a plan sounds cheap. You were sold 'AI Agent on every plan, pay only when it resolves a conversation.' on gorgias.com/pricing, read 7 August 2026. The promise sounds clean. The meter arithmetic behind it is different.

The billing docs define the ticket counter this way: 'A ticket is considered billable when at least one message in the ticket is sent from your Gorgias helpdesk, whether the message comes from a human agent, AI Agent, or an automatic reply from a Rule.' Then the automation counter, verbatim: 'An interaction is considered automated if the customer does not require the involvement of a human agent within 72 hours of the interaction.'

So when AI Agent answers and the customer goes away happy, you pay a ticket fee plus an automation fee. When it misses and a human takes over, you pay the ticket fee only. Success bills two meters. Failure bills one. Their docs state all three billing cases plainly, and to their credit they don't hide it.

Nobody designs that setup on purpose. You inherit it when AI gets added to a product that already measures tickets. Per seat, per ticket, and per conversation all came from counting human effort. Teams leave the two-meter bill and pick a Gorgias alternative that charges for the work its AI did: a reply.

Answers live across the tools you run

Your answers are spread across the sources your team actually runs, and they need to stay current. Maybe that's Notion, Drive, Confluence, SharePoint, or whatever you run. Gorgias publishes five content types its AI Agent learns from: guidance snippets you write, help center articles, a crawl of your store website, single-page URLs, and uploaded documents. All four are absent from that published list, an absence in their docs rather than a confirmed limit. They publish the list, which is more than most vendors do.

A synced URL doesn't follow subpages, so a documentation site goes in a page at a time. The store crawl is explicit, verbatim: 'You can re-sync content from your store website once every 30 days.' A month-stale answer on a policy you changed today is why people start searching for a Gorgias alternative.

They advertise 254 integrations, but we won't pretend those are 254 knowledge sources. They're actions and sidebar apps. The comparable knowledge-source number is five. That distinction matters because an integration can help your team work while giving the AI nothing reliable to answer from.

Match the product to your queue

Buy Gorgias if Shopify support is the job. Its AI does order lookups, refunds, and cancellations against live store data, and its Actions run in the store rather than describing what to do. If your volume is 'where is my order' and 'can I change the size,' that's the job, and Outlearn doesn't do it. That's not a small caveat. It's most of their product.

Two more things deserve saying clearly. They aren't priced per seat. And their AI holds back when unsure: "If it can't find an answer, it won't respond." Gorgias is shown on Pro at annual billing, their most popular plan. Their card price bundles AI Agent because the Add AI Agent toggle defaults to on, so Pro's $471 is $300 of helpdesk and $171 of pre-bought AI. Reaching 1,000 AI resolutions means roughly 1,985 conversations at our measured 50.4% self-solve rate, and every one is a billable ticket once any message goes out. The 810 figure is the automated interactions past Pro's included 190, at their published $1.50 overage. Pro plus that overage beats Advanced at this volume, so the calculator stays on Pro.
